Marketing & Admissions Department

Ponce Health Sciences University is seeking candidates for a full-time Administrative Assistant for the Marketing and Admissions Department. To succeed, the candidate must have the following background and competencies:

  • Bachelor’s degree (B.A.) from a four-year college or university
  • Bilingual (Spanish and English)
  • Excellent computer skills in MS Office (Word, Excel, Power Point)
  • Ability to consistently meet daily, weekly, and monthly deadlines
  • Knowledge in MS Office, Jenzabar, Salesforce or CRM systems, OnBase, AMCAS and other admissions platforms.
  • Customer service skills
  • Flexibility to work nonstandard hours and weekends if needed.

Essential Functions:

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Organizes work by reading and routing correspondence; collecting information; initiating telecommunications.
  • Maintains department schedule by maintaining calendars for department personnel, arranging meetings, conferences, teleconferences, and/or travel among others.
  • Completes requests by greeting visitors and/or students, in person or on the telephone, answering or referring inquiries.
  • Audit files and computer information systems used by the department.
  • Prepares reports by collecting information.
  • Create official communications from Admissions and Marketing Department, including official admission committee decisions, follow-up to potential candidates’ applications and accepted students, among other duties as requested.
  • Receive and respond emails through and redirect communications as needed.
  • Support admissions process for St. Louis Campus.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Prepare requisitions for payments, office supplies, equipment, and services.
  • Secures information by completing database backups.
  • Provides historical reference by utilizing filing and retrieval systems.
  • Contributes to team effort by accomplishing related results as needed.
  • Other administrative tasks
