Ponce Health Sciences University is seeking candidates for a full-time Office Clerk Assistant for the
Registrar Department.
Under the direction of the Director of the Registration Department, the candidate must provide direct
service in the operations of one-stop services. This position requires excellent communication skills,
strong attention to detail, critical and creative thinking, flexibility, and the ability to work
collaboratively with faculty, students, staff, and alumni. With a great sense of confidentiality and
teamwork.
To succeed, the candidate must have the following background and competencies:
- Bachelor’s degree (B.A.) from a three-year college or university
- Bilingual (Spanish and English)
- Excellent computer skills in MS Office (Word, Excel, PowerPoint)
- Ability to consistently meet daily, weekly, and monthly deadlines.
- Knowledge of MS Office, and other registrar platforms.
- Customer service skills
- Flexibility to work nonstandard hours and weekends if needed.
Essential Functions:
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and
transmitting text, and data. - Complete requests in the one-stop area by greeting visitors and/or students in person or
by phone, answering or referring inquiries. Provides customer guidance and services to
students and visitors and helps them navigate the processes for completing service
requests. - Support in official documents.
- Support in sending information, correspondence, and follow-up to students.
- Follow archiving protocols to maintain organization in the vault.
- Organizes work by reading and routing correspondence, collecting information,
and initiating telecommunications. - Completes requests by greeting visitors and/or students, in person or on the telephone,
answering or referring inquiries. - Support in the digitization of students’ academic records in the system.
- Support in the data entry process and steps in the information system.
- Support responds to emails and redirect communications as needed.
- Other duties as assigned by the Registrar.
